Non-EU trustees

If you are a trustee and do not live in the EU and you want to register the trust or similar legal agreement/construction and its UBOs, you must request a personal account with which you can log in. To apply for a personal account, you can download the application form (PDF) at the bottom of this page. Please print this form, complete it and send it with the requested documents to the following address:

This procedure is only for non-EU trustees who do not have the possibility to apply for a DigiD (Dutch digital identification service). 
The following applies for trustees residing in the EU:

• Trustees residing or registered in the Netherlands can register via this website using DigiD.
• Trustees residing or registered in another EU member state must register in the register of that  particular EU member state.

If you live in Liechtenstein, Norway or Iceland and you do have a BSN (Dutch citizen service number), then you can request a DigiD and log in via this website to register the trust or similar legal agreement/construction and its UBOs.

You can find more information about applying for a DigiD on the DigiD website. If you do not meet the conditions to apply for a DigiD, you can apply for a personal account.

Note: If you apply for a personal account but have a DigiD or are eligible for a DigiD, your application will be denied.

How to apply for a personal account

Download the application form. Complete the application form and send it together with the requested documents to the above address. We will process your application as soon as we have received the application form. When completing the application form, you will be asked for a valid e-mail address and a pin code. You can make up your own pin code. Your pin code must consist of 6 digits. Write down the pin code for yourself, because you will need it when activating your personal account. When activating your account you will also need a mobile phone.

You will receive an email on how to activate your personal account. Please note that you must change your password within 72 hours of receiving the email. More information can be found in the instructions on how to activate your personal account, at the bottom of this page.

Personal tax identification number 

On the application form, you must enter a personal tax identification number. There are two possibilities:

• you enter the identification number under which you are registered in the tax registration or other personal registration of the country where you are resident or registered.
  Note: do not fill in the number of your identification document (such as a passport number).
• You have a BSN and are registered in the RNI (the Dutch Register of Non-Residents). You can read more about the RNI on the website of the Ministry of Foreign Affairs.
  Note: under certain conditions you can also register in the RNI and obtain a BSN in the process as well.

Legalized documents

When sending the application form, you must also provide two legalized documents. Such as a copy of both sides of your passport and proof of address. Please note that proof of address, such as a bank statement, cannot be older than 3 months.

Another example of proof of address is an extract from the population register. If you send the original document, it does not need to be legalized.

The legalized documents must be readable for KVK. For example, Chinese characters are not allowed, unless a legalized translation in English, German, French or Dutch is included.

You can have your documents legalized by, for example, a court, notary, lawyer or other authority of the country where you reside or are registered as a trustee.

Note: If you have a BSN and are registered in the RNI, sending a copy of both sides of your passport is sufficient. This copy does not need to be legalized. You also do not need to send a proof of address.
